In addition to handling a variety of administrative duties, the executive assistant will support the CEO and COO at the executive level. We are seeking a candidate with experience in the following areas: calendar management, meeting scheduling, trip planning, leading/supporting special initiatives within the operations department, and liaising with both external and internal partners. By offering individualized and superior support, this role will improve the overall effectiveness of the company's operations. This individual will answer directly to the COO.
Key Responsibilities
Serve as the primary point of contact between the COO,CEO and team members, as well as external parties, ensuring effective communication and maintaining confidentiality as appropriate
Work closely with the Founders to keep them well-informed of upcoming commitments, responsibilities, and deadlines, and follow up as necessary to ensure timely completion
Conduct thorough research on various topics and prepare materials, presentations, and reports as needed, ensuring accuracy and relevance
Assist in managing the Founders communication channels, including coordinating calendars, scheduling meetings, managing emails, and organizing in-person interactions
Maintain a solid understanding of the day-to-day processes and operations of the teams and departments under the Founders purview, allowing for informed communication and effective support
Uphold a high level of understanding and confidentiality regarding information across different departments, executives, and the Founders, ensuring that sensitive information is handled appropriately
Stay informed about internal processes, project progress, and emerging issues to provide regular updates, enabling them to make informed decisions
Take responsibility for managing all travel arrangements, including scheduling, booking accommodations, and creating detailed itineraries
Provide event management support for team events and projects initiated by the Founders, ensuring smooth execution and coordination
Offer project management support and leadership for special projects as required, assisting in planning, organizing, and monitoring progress
Maintain and organize company documents and records, ensuring easy access and accurate documentation
Assist in prioritizing conflicting responsibilities and needs, helping the Founders allocate their time and resources effectively
Perform additional administrative tasks to facilitate the Founders work and contribute to overall operational efficiency
Qualifications & Preferred experiences
Highly organized and dependable. This is the single most important trait required to succeed in this role. You must be able to juggle dozens of tasks of varying importance at the same time without dropping any of them. You will also help your executives to stay organized
Demonstrated experience providing support to a high-level executive in a fast-paced start-up environment
Possess a minimum of 5+ years of experience as an Executive Assistant, showcasing a strong background in supporting senior executives
Exhibit exceptional computer literacy, including proficiency in relevant software and tools. Knows when a manual process should be automated from experience
Display excellent communication skills, with a keen eye for detail and a focus on maintaining accuracy in all tasks. Highly detail oriented is a must
Exhibit a high level of organizational skills, effectively managing calendars, schedules, and priorities
Demonstrate proactive problem-solving abilities, taking the initiative to address issues and find solutions independently
Possess a self-motivated work style, approaching tasks with enthusiasm and energy
